This policy explains how personal data is collected and used through the coachtanguy.com website and in the context of the sports coaching services.

2. Data collected, purposes and legal bases

Contact requests

When you use the contact form or contact CoachTanguy directly by e-mail, phone or WhatsApp, the following data may be processed:

  • first name and last name;
  • e-mail address;
  • phone number;
  • content of the messages;
  • information relating to your request.

This data is used to answer your request, arrange a call and provide you with the information you need before a possible order. The legal basis is the performance of pre-contractual measures taken at your request and the legitimate interest of CoachTanguy in replying to the people who contact him.

Organisation of the coaching

When you become a Client, the following data may in particular be processed:

  • identity and contact details;
  • sports goals;
  • level and experience;
  • availability and organisation;
  • available equipment;
  • history of the sessions;
  • performance, progress and feedback;
  • training programmes;
  • answers to questionnaires and check-ups;
  • exchanges by e-mail or WhatsApp.

This data is necessary in order to create, organise, personalise and follow up your coaching. The legal basis is the performance of the contract concluded with the Client.

Health data

In order to adapt the exercises and ensure the Client's safety, CoachTanguy may collect information about, in particular:

  • pain;
  • injuries;
  • medical conditions;
  • physical limitations;
  • treatments that have an impact on sports practice;
  • pregnancy or breastfeeding where relevant;
  • medical history useful for the coaching.

Health data is sensitive data. It is processed only with the explicit and separate consent of the Client and only to the extent necessary to adapt and secure the coaching. Consent may in particular be obtained through the following checkbox in the initial questionnaire:

I explicitly consent to the health information I provide being used by CoachTanguy solely in order to adapt and secure my sports coaching.

The Client may withdraw consent at any time. Where certain information is essential to the Client's safety, withdrawing it may prevent the continuation of certain exercises or of personalised coaching.

Photos and videos

The Client may voluntarily send photos or videos in order to allow:

  • a technical correction;
  • the analysis of an exercise;
  • the follow-up of progress.

This content is not published and is not used for advertising purposes without the prior, separate and explicit agreement of the Client.

Bookings

When a booking tool such as Zcal is used, the data required for the booking may be processed:

  • name;
  • e-mail address;
  • date and time of the appointment;
  • information provided when booking.

This data is used to organise and confirm the appointments.

Payments and invoicing

Payments are processed through Stripe and the payment methods available on its secure page. CoachTanguy does not directly collect or store the Client's full banking details.

The data required for invoicing and accounting may be sent to the Accountable tool or to an accounting adviser. It is processed in order to perform the order and to comply with tax and accounting obligations.

Nutrition calculator

The data entered in the free nutrition calculator, in particular age, sex, height, weight, activity and goal, is processed directly in the user's browser. It is not sent to CoachTanguy and is not stored on a server, unless a future change to the way the calculator works is clearly announced.

Technical data

When you browse the website, the hosting provider may process certain technical data necessary for the operation and security of the site, in particular:

  • IP address;
  • browser and device type;
  • date and time of connection;
  • technical logs and security information.

Information about cookies and local storage is set out in the Cookie policy.

No profiling

CoachTanguy currently does not use personal data for any automated decision producing legal effects, any automated profiling or any automated commercial prospecting.

3. Mandatory or optional nature of the data

The information indicated as mandatory is necessary in order to:

  • answer a request;
  • make a booking;
  • issue an invoice;
  • create a programme;
  • ensure the safety and the follow-up of the Client.

Refusing to provide certain data may prevent CoachTanguy from answering the request, concluding the order or offering sufficiently suitable coaching. Optional information is clearly presented as such.

The data is mainly obtained directly from the person concerned. For a minor Client, certain information may be provided by their legal representative.

4. Recipients of the data

Personal data is never sold. It is accessible only to CoachTanguy and, where necessary, to the following service providers:

  • Netlify, for the hosting of the website and the contact form;
  • the provider of the e-mail service used by CoachTanguy;
  • WhatsApp and Meta, for communications made through WhatsApp;
  • FitPros, for the creation, hosting and follow-up of the sports programmes;
  • Zcal, for the booking of appointments;
  • the tool used for questionnaires and check-ups, in particular Google Forms when it is used;
  • Stripe and the payment providers chosen by the Client;
  • Accountable or the accounting adviser, for invoicing and accounting;
  • the administrative or judicial authorities where the law requires it.

Each service provider receives only the data necessary for its task. When the Client uses an external platform, the use of that platform is also subject to the privacy policy of the provider concerned.

5. Transfers outside the European Economic Area

Certain technical providers, in particular Netlify, Meta, Stripe or Google, may process data outside the European Economic Area.

Where this happens, the transfers are governed by the mechanisms provided for by the GDPR, in particular an adequacy decision, standard contractual clauses or other appropriate safeguards.

6. Retention periods

Data is kept only for as long as necessary for its purpose:

  • contact requests with no follow-up: no more than 12 months after the last exchange;
  • bookings and pre-contractual exchanges: no more than 12 months after the appointment or the last exchange;
  • programmes, questionnaires, check-ups and client follow-up: during the coaching, then no more than 12 months after it ends;
  • WhatsApp messages and e-mails linked to the coaching: during the client relationship, then no more than 12 months after it ends, unless a specific exchange needs to be kept;
  • health data: during the coaching, then no more than 12 months after it ends, unless consent is withdrawn earlier, or in the event of a dispute or a legal obligation;
  • photos and videos of execution or progress: for the time needed to analyse them and no more than 12 months after the end of the coaching;
  • accounting documents and invoices: 10 years in accordance with Belgian legal obligations;
  • data stored in the browser: until it is deleted by the user;
  • technical logs: for the time needed for the security and proper operation of the site, according to the hosting provider's settings.

Once these periods have expired, the data is deleted or anonymised, except where longer retention is necessary to comply with a legal obligation or to defend a right in court.

7. Rights of individuals

Any person concerned has the following rights, under the conditions provided for by the GDPR:

  • the right to obtain information about the processing;
  • the right to access their data;
  • the right to have inaccurate data corrected;
  • the right to request erasure;
  • the right to request the restriction of processing;
  • the right to object to certain processing;
  • the right to data portability;
  • the right to withdraw consent at any time.

Withdrawing consent does not affect the lawfulness of the processing carried out before that withdrawal.

To exercise these rights, a request may be sent to: contact@coachtanguy.com. A reply is provided within one month. Proof of identity may be requested only in the event of reasonable doubt about the identity of the applicant.

8. Security

CoachTanguy takes reasonable technical and organisational measures to protect personal data, in particular:

  • use of an HTTPS connection;
  • restricted access to the data;
  • use of protected accounts;
  • collection limited to the necessary information;
  • use of professional service providers;
  • deletion or archiving of data that has become unnecessary.

Despite these measures, no computer system or service accessible over the internet can guarantee absolute security.

9. Links and external platforms

The website may contain links to external platforms such as Stripe, WhatsApp, FitPros, Zcal or social media.

CoachTanguy has no control over the processing carried out directly by these platforms. Users are invited to consult their own privacy policies before sending them any data.

10. Complaint to the Belgian Data Protection Authority

Any person who considers that their data is not being processed in accordance with the regulations may lodge a complaint with:

11. Changes to the policy

This policy may be amended in order to take account of:

  • a change to the website;
  • the addition or removal of a service provider;
  • a change to the services;
  • a change in the regulations.
